We are seeking a proactive and detail-oriented Admin Manager Safety, Security, Facility Upkeep & Housekeeping to oversee and manage the overall administration, safety, security, housekeeping, and facility maintenance functions of our manufacturing unit. The role is critical in ensuring a safe, clean, organized, and compliant workplace environment that supports operational efficiency, employee well-being, and high workplace standards across factory and office premises. Key Responsibilities 1. Safety & Compliance (Non-Machinery)
- Enforce safety protocols across office areas, shopfloors, warehouses, and common facilities
- Conduct regular safety audits, mock drills, inspections, and emergency preparedness exercises
- Ensure compliance with fire safety, electrical safety, environmental regulations, and statutory requirements
- Maintain records related to safety inspections, incidents, licenses, and compliance documentation
- Coordinate with local authorities and compliance agencies as required 2. Security Management
- Supervise factory security personnel, gate operations, visitor management, and access control systems
- Monitor and maintain CCTV systems, surveillance infrastructure, and security protocols
- Ensure proper movement control for vehicles, materials, and manpower within the premises
- Investigate and report security incidents, thefts, or breaches, and implement corrective actions
- Coordinate emergency response during security or safety-related situations 3. Facility & Building Maintenance
- Oversee maintenance of civil, electrical, plumbing, HVAC, lighting, and utility infrastructure across the factory and office premises
- Ensure timely repair and preventive maintenance of administrative and production support facilities
- Maintain upkeep of office blocks, restrooms, canteens, parking areas, and external premises
- Track complaints, maintenance requests, breakdowns, and vendor service performance
- Ensure smooth functioning of utilities and uninterrupted facility operations 4. Housekeeping Management (Including Shopfloor)
- Manage housekeeping operations across all factory and office areas including shopfloor, restrooms, offices, warehouses, and surrounding premises
- Ensure daily cleanliness, hygiene, and workplace organization standards in line with 5S practices
- Implement and monitor schedules for deep cleaning, sanitation, pest control, waste disposal, and hygiene maintenance
- Conduct regular inspections to ensure cleanliness, tidiness, and visual management compliance across all zones
- Ensure proper waste segregation and disposal practices in accordance with environmental and safety standards 5. Vendor & Budget Management
- Select, onboard, coordinate, and supervise vendors for housekeeping, security, pest control, civil/electrical maintenance, and waste handling services
- Monitor vendor performance, service quality, and compliance with contractual obligations
- Manage facility-related budgets, control expenses, and ensure cost-effective operations
- Ensure timely renewal of Annual Maintenance Contracts (AMCs), service agreements, and statutory licenses
- Negotiate vendor contracts and support procurement activities related to facility management Qualifications & Skills
- Graduate or Diploma in Facility Management, Industrial Safety, Administration, or Engineering (Civil/Electrical preferred)
- Minimum 8-12 years of experience in factory, manufacturing plant, or industrial facility management
- Strong knowledge of housekeeping systems, facility upkeep, safety standards, and administrative operations
- Experience in managing security systems, vendor coordination, and statutory compliance
- Good understanding of budgeting, AMC management, and maintenance planning
- Strong leadership, communication, problem-solving, and team management skills
- Ability to handle multiple responsibilities and maintain high workplace standards under pressure Preferred Competencies
- Knowledge of 5S and workplace management practices
- Experience in textile or manufacturing industry preferred
- Solid coordination skills with internal departments and external agencies
