Finance Associate (Bhavnagar)

About the Role

Habits 365 Greek is a US-based custom apparel and merchandise company serving college students across the United States. We are looking for a detail-oriented Payments Associate to manage invoicing, payment tracking, follow-ups, and reporting across a high volume of records.

This role plays a key part in ensuring timely invoice fulfillment, clean financial data, and smooth coordination between clients, internal teams, and finance systems. The role requires working in the night shift aligned with US time zones.

Key Responsibilities
- Manage and track invoices, payments, and pending records using Shopify and QuickBooks
- Manage the payroll process of the organization
- Follow up efficiently on a large volume of pending invoices and payment records
- Communicate directly with clients for invoice fulfillment, payment status updates, and issue resolution
- Handle collections-related follow-ups professionally and consistently
- Maintain accurate and up-to-date payment records across systems
- Perform data analysis and reporting on outstanding balances, aging, and trends
- Identify gaps, inconsistencies, or missing data and proactively resolve them
- Ensure records are clean, complete, and reliable for reporting and decision-making
- Coordinate with internal teams (sales, operations, fulfillment) to:
- Verify order and invoice details
- Act as a point of contact between finance and operations to ensure alignment
- Provide daily updates on pending payments, follow-ups, and progress

Required Skills & Qualifications
- Strong data analysis and reporting skills
- Clear and skilled verbal and written communication skills (English)
- Strong working knowledge of Shopify and QuickBooks
- Advanced Excel skill
- Proven experience managing large volumes of pending records
- Comfortable speaking with clients regarding invoices and payments
- Background in collections, accounts receivable, or payments operations preferred
