Job Title: HR & Admin Executive /Manager Reporting to: Chairman and Managing Director Department: Human Resources & Administration Location: [Insert Location] Employment Type: Full-time Main Purpose of the Role: The HR & Admin Executive will be responsible for managing end-to-end Human Resource and administrative functions within the organization. This includes recruitment, HR operations, employee engagement, payroll processing, compliance, policy implementation, and overall office administration. The role requires a proactive and well-organized individual who can handle responsibilities independently while aligning with company goals. Key Responsibilities:Human Resources Operations:
- Act as an HR Generalist overseeing all core HR functions including recruitment, onboarding, employee lifecycle management, policy formation, and payroll.
- Maintain and update the Employee Master Database across all units.
- Manage the probation and confirmation process, sending timely reminders to reporting managers and updating employee status.
- Conduct employee engagement activities to enhance retention, motivation, and workplace culture.
- Administer payroll processing, ensuring accuracy in salary calculations, deductions, and statutory compliance.
- Handle full and final settlements, gratuity, and exit interviews for departing employees. Recruitment & Onboarding:
- Work closely with business heads to understand manpower requirements.
- Source, screen, and shortlist candidates through various recruitment channels.
- Schedule and coordinate interviews with department heads.
- Finalize compensation in coordination with HODs and senior management.
- Conduct pre-employment medical checks, issue offer letters, and complete joining formalities. Performance Management:
- Facilitate the annual performance appraisal process, assist in review meetings, and update appraisal records.
- Recommend and track transfers, promotions, rewards, and bonus decisions.
- Maintain performance-related documents and ensure timely communication with all stakeholders. Compliance & Discipline:
- Draft and implement HR policies in line with business objectives and labor laws.
- Take disciplinary actions when required—issuing show-cause notices, warnings, and termination letters in coordination with the CMD.
- Maintain updated salary TDS declarations and support in tax-related documentation for all employees. Administrative Responsibilities:
- Draft and update job descriptions and KRAs for all roles.
- Provide general administrative support including coordination with departments, vendors, and managing daily office functions.
- Perform other duties as assigned by the Chairman and Managing Director. Key Skills & Competencies:
- Strong knowledge of HR operations and employment laws
- Excellent interpersonal and communication skills
- Attention to detail and organizational ability
- Discretion and confidentiality
- Proficiency in MS Office and HRMS software
