Position: Executive Assistant Department: Director’s Office Role Overview: We are seeking a proactive and detail-oriented Executive Assistant to support the Chief Operating Officer (COO) in a dynamic and fast-paced civil and construction environment. The ideal candidate will possess a background in construction project coordination or operations, combined with solid administrative and communication skills. This role requires exceptional organizational abilities, discretion, and the capability to handle multiple priorities while ensuring smooth day-to-day functioning of the COOs office. Key Responsibilities:
- Manage and organize the COOs daily schedule, including internal/external meetings, appointments, and site visits.
- Coordinate domestic and international travel arrangements, itineraries, and related logistics.
- Support meetings by preparing agendas, recording minutes (MOMs), and tracking actionable points for timely follow-up.
- Ensure smooth coordination between departments, vendors, and project teams for ongoing operational tasks.
- Handle correspondence, prioritize communications, and maintain an effective system for document and data management.
- Prepare presentations, reports, and briefing materials for the COO to support strategic decision-making.
- Maintain the highest level of confidentiality, professionalism, and discretion in all matters.
- Assist the COO during site visits and business travel, ensuring seamless logistical and administrative support. Required Skills and Experience:
- Bachelors degree in Business Administration, Engineering, or related field preferred.
- Minimum 2-3 years of experience in a similar capacity, preferably within the civil or construction industry.
- Strong understanding of construction operations, project coordination, and related workflows.
- Excellent written and verbal communication skills with a professional demeanor.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Exceptional organizational, multitasking, and time-management skills.
- Ability to work independently, manage confidential information, and adapt to changing business priorities.
