Position Overview: We are looking for a highly organized, proactive, and dynamic Executive Assistant to support the CEO in managing day-to-day operations, strategic initiatives, and organizational communication. This role requires someone who can thrive in a fast-paced environment and ensure effective coordination across departments. Additionally, the Executive Assistant will support the CEO in international business activities, particularly related to Germany, including partnership coordination, documentation, and communication. Key Responsibilities: 1. Executive Support
- Manage the CEOs calendar, schedule appointments, and coordinate travel.
- Prepare meeting agendas, minutes, presentations, and follow-up summaries.
- Monitor, screen, and prioritize emails and calls. 2. Communication & Liaison
- Act as the primary point of contact between the CEO and internal/external stakeholders.
- Draft, edit, and send communication on behalf of the CEO.
- Ensure consistent flow of communication within the organization. 3. Meeting & Event Coordination
- Organize meetings, conferences, and speaking engagements.
- Handle logistics, materials, and follow-up.
- Support planning and execution of board meetings. 4. Project Management & Special Initiatives
- Assist with strategic projects assigned by the CEO.
- Conduct research and prepare presentations.
- Track project timelines and ensure timely deliverables. 5. International Business Support
- Support communication with international partners.
- Manage documentation, follow-ups, and scheduling across time zones.
- Prepare international proposals, partnership documents, and reports.
- Coordinate travel, visa processes, and logistics for other countries-related activities.
- Conduct research on international donors and collaborations. 6. Confidentiality & Discretion
- Handle sensitive information with integrity.
- Maintain secure and organized records. 7. Administrative Support
- Draft and proofread letters, reports, and documents.
- Ensure smooth daily operations of the CEOs office.
- Maintain organized office documentation. 8. Time Management & Prioritization
- Assist the CEO in managing priorities and deadlines.
- Resolve scheduling conflicts.
- Anticipate requirements and prepare in advance. Qualifications: Education:
- Bachelor’s degree or equivalent experience (nonprofit background preferred). Experience:
- 5-8 years in executive assistance or administrative roles.
- Experience in nonprofit or corporate leadership support preferred. Skills:
- Strong organizational skills.
- Excellent written and oral communication.
- Proficiency in MS Office and Google Workspace.
- Ability to multitask and perform under pressure. Requirement:
