- Job Title: Task Manager cum Executive Assistant to the Director
- Location: Lalghati, Bhopal
- Job Type: Full-time
- Reports to: [Director & HOD -HR] Job Overview We are looking for a Task Manager cum Executive Assistant to align our Senior Management Tasks initiatives with business objectives and company goals. The ideal candidate will act as a Task Manager on Task & Operations related issues, contribute to organizational effectiveness, and drive strategic initiatives such as, leadership development, work delegation management, and change management. Key Responsibilities: 1. Strategic Execution & Alignment: Translate director's priorities into explicit action plans, milestones, and deliverables Track execution of strategic initiatives, OKRs, and board-level action items Ensure alignment across business units & other mandates.
1. Task & Program Management: Own and manage high-priority, time-sensitive, cross-functional tasks Set deadlines, monitor progress, remove bottlenecks, and escalate risks Drive closure with measurable outcomes, not just updates.
1. Stakeholder & team Coordination: Act as a single point of coordination between leadership teams Facilitate leadership meetings, action trackers, and follow-ups Prepare concise dashboards, briefs, and executive summaries.
1. Governance, Reviews & Reporting Prepare minutes of meeting s & schedule, plan a day according to director. Establish governance & initiatives Ensure data-backed reporting on progress, risks, and dependencies Maintain confidentiality and handle sensitive information with discretion
1. Process & Productivity Optimization Identify execution gaps and improve decision-to-delivery cycles Introduce frameworks, tools, and best practices for task tracking Enable faster execution without compromising quality.
1. Communication & Correspondence The Executive Assistant shall manage all official communication on behalf of the Director, including emails, letters, and internal coordination. Acting as the primary point of contact, the EA is responsible for filtering, prioritizing, and responding to correspondence professionally and timely while maintaining complete confidentiality and accuracy in all communications. 1. Information & Document Management The Executive Assistant is responsible for maintaining a well-organized and secure system for all documents, reports, and records related to the Director’s office. This includes both digital and physical documentation, ensuring ease of retrieval, version control, and confidentiality.
The EA will also assist in preparing reports, summaries, and presentations, Minutes of Meeting as required. 1. Research, Analysis & Decision Support The Executive Assistant shall support the Director by conducting research on industry trends, competitors, market insights, regulatory updates, and internal performance data as required. This includes compiling information from credible sources, preparing concise summaries, comparative analyses, and briefing notes to aid strategic and operational decision-making.
The EA must present findings in a clear, structured, and actionable manner within defined timelines. 1. Presentation & Data Support The Executive Assistant is responsible for assisting in the creation and refinement of presentations, dashboards, and data summaries for board meetings, reviews, and external discussions. This includes organizing data, ensuring accuracy, visual clarity, and alignment with the Director’s communication objectives. Desired Skills:
- Any graduate/ Bachelor’s degree in Human Resources, Business Administration, or related field (Master’s preferred).
- 3-5 years of experience in operations management, with at least 2 years in strategic operations management.
- Strong understanding of operations, tasks and organizational behaviour.
- Proven experience in strategic planning, data-driven decision-making, and change management.
- Excellent communication, negotiation, and interpersonal skills.
- Ability to influence and build relationships at all levels of the organization. Preferred Qualifications:
- Experience in a fast-paced or global work environment.
- Familiarity with HRIS systems and data analytics tools.
