Distribution Executive (Maharashtra)

Job Title: Distribution Executive Company: Concept Pharma Location: Andheri,Mumbai Experience: 3+ Years Job Summary Concept Pharma is looking for a senior Distribution Head / Distribution Manager to oversee end-to-end distribution operations, depot management, transportation, credit notes, inventory control, expiry management, and compliance. The role demands solid operational control, coordination with depots, transporters, factory, sales, marketing, and finance teams, and strict adherence to timelines and SOPs. Key Responsibilities A. Dispatch Planning & Stock Control
- Prepare and update daily dispatch plans and circulate to marketing teams.
- Prepare monthly opening stock statements and reconcile with sales charts.
- Perform monthly stock reconciliation and track shortages daily.
- Follow up on marketing plans and ensure alignment with dispatch.
- Ensure removal of depot expiry stock. B. Non-Moving Stock Management
- Identify non-moving products on a daily basis.
- Reduce non-moving stock with a target of at least 25% monthly.
- Coordinate with field force and depots for liquidation. C. Near-Expiry Stock Management
- Prepare near-expiry stock lists monthly.
- Reduce near-expiry stock with a minimum target of 10%.
- Follow up with depots and field teams daily.
- Prepare and process near-expiry invoices. D. Depot Expiry & Destruction
- Prepare depot expiry lists monthly.
- Coordinate with factory for usage or liquidation of expired stocks.
- Verify expired stock through WhatsApp video verification.
- Manage liquidation of expired stocks.
- Appoint approved incinerators and arrange destruction as per regulatory norms.
- Identify and coordinate with government-approved incinerators. E. Credit Notes & Sales Returns (RGS)
- Ensure timely lifting of return goods from transporters.
- Coordinate with depots for return processing.
- Ensure preparation of RGS within 3 days by depots.
- Verify returned goods via WhatsApp video calls.
- Ensure correct rate replacement during settlement.
- Confirm RGA and arrange packing material for damaged but salable goods. F. Inter-Depot Transfers (IDT)
- Identify shortage and excess products weekly.
- Check expiry dates and product condition before transfer.
- Coordinate with depots for proper packing.
- Coordinate with transporters for immediate pickup.
- Ensure quantity, batch number, and packing accuracy at receipt. G. Transportation Management (Depot & Direct Sales)
- Ensure timely pickups and deliveries.
- Monitor daily stock movement.
- Alert transporters for delays or non-movement.
- Ensure proper and timely delivery confirmations. H. Schemes, Pricing & Approvals
- Ensure proper scheme definition with batch number and effective dates.
- Ensure special schemes are incorporated in billing without credit notes.
- Monitor and control rate-difference credit notes.
- Ensure special rate approvals are obtained only from Directors. I. Reimbursement & Expense Control
- Verify transport bills as per contracts.
- Match billed weight with actual kilograms shipped.
- Recover costs for shortages or damaged deliveries.
- Verify depot expenses.
- Coordinate with accounts for timely payments to depots, including commissions, interest, and expenses. J. Insurance Claims
- Submit insurance claims for shortages/damages above 15,000.
- Prepare and collect all supporting documents.
- Obtain shortage certificates from transporters. K. Direct Billing Operations
- Ensure correct billing and delivery addresses.
- Book consignments as per contract terms.
