Job Description – Unit Head / Admin Manager Organization: CDFC Hospital – Chennai Diabetic Foot Care Centre Location: Pattom, Trivandrum Department: Hospital Administration / Branch Operations Employment Type: Full time Reporting To: Founder / Executive Head / Clinic Operations Head / Medical Director Role: Unit Head / Admin Manager The role is aligned with CDFC’s Admin Manager / Unit Head requirement for the Trivandrum–Pattom branch. Job Summary The Unit Head / Admin Manager will be responsible for the overall administration, coordination, performance, compliance, license follow-up, and smooth day-to-day functioning of CDFC Hospital, Pattom. The role requires strong leadership, hospital operations knowledge, staff coordination, patient handling skills, revenue focus, regulatory follow-up, and the ability to maintain CDFC’s standards in diabetic foot care, podiatry, wound care, pharmacy, diagnostics, billing, and patient service. The Unit Head will act as the branch-level accountable person for operations, staff discipline, patient experience, revenue tracking, compliance, license renewals, doctor coordination, vendor coordination, and execution of management instructions. The existing JD also defines the Unit Head as responsible for branch operations, staff discipline, patient experience, revenue tracking, compliance, and doctor coordination. Key Responsibilities1. Branch Operations Management Manage daily hospital operations including OPD flow, dressing area, pharmacy, billing, front office, diagnostics, counselling, housekeeping, and support services. Ensure all departments work in coordination and maintain smooth patient movement from registration to consultation, treatment, billing, pharmacy, and follow-up. 2. Overall Management Activities Take complete responsibility for the smooth functioning of the Pattom branch. Monitor administration, staff coordination, patient service, department performance, housekeeping, maintenance, vendor follow-up, expense control, safety, security, and management reporting. Identify operational issues and ensure timely follow-up and closure. 3. License, Statutory, and Compliance Follow-up Follow up and maintain all hospital-related licenses, registrations, approvals, certificates, renewals, and statutory compliance requirements applicable to the branch. Coordinate with management, consultants, local authorities, pharmacy/licensing teams, biomedical waste vendors, fire and safety teams, labour-related authorities, and other regulatory bodies as required. Maintain a license tracker with renewal dates, responsible persons, pending documents, payment status, and completion status. 4. Staff Supervision and Coordination Lead and supervise front office, billing, nursing, physician assistants, pharmacy, housekeeping, marketing, and support teams. Allocate responsibilities, monitor punctuality, maintain discipline, and ensure proper team communication. Conduct regular staff reviews and support training as required. 5. Patient Experience and Service Quality Ensure every patient receives proper attention, guidance, counselling, billing clarity, and follow-up support. Handle patient complaints, escalations, delays, and service issues professionally. Maintain a patient-centric and ethical hospital culture. 6. Revenue and Business Performance Track daily revenue from consultation, dressing, procedures, diagnostics, pharmacy, footwear, products, and other services. Monitor daily collection, outstanding payments, billing accuracy, package approvals, and revenue leakage. Support marketing and follow-up teams to improve appointment conversion and patient retention. 7. Clinical and Administrative Coordination Coordinate with doctors, surgeons, physician assistants, nurses, pharmacy, OT/dressing team, and counsellors for smooth clinical workflow. Ensure treatment plans, investigations, procedures, surgery coordination, and follow-up instructions are communicated properly. 8. Compliance and Documentation Ensure proper maintenance of patient records, staff records, consent forms, billing documents, HR files, training records, compliance registers, license files, vendor files, agreements, AMC records, and statutory documents. CDFC’s joining form also captures appointment details, designation, work location, age, professional registration/certification, previous employment details, and language proficiency, which supports structured employee documentation. 9. HR and Attendance Control Monitor staff attendance, leave, duty timing, grooming, behaviour, and role performance. Coordinate with HR for recruitment needs, joining formalities, employee documents, induction, confirmation, appraisal, disciplinary action, and exit formalities. 10. Inventory, Pharmacy, and Asset Control Coordinate with pharmacy and store teams to monitor stock, expiry, consumables, wound-care materials, footwear/products, and equipment usage. Ensure stock shortages, dead stock, and emergency requirements are reported to management on time. 11. Vendor, Maintenance, and Facility Coordination Coordinate with vendors for housekeeping materials, biomedical waste, pest control, equipment service, electrical, plumbing, air-conditioning, internet, software, signage, security, and general maintenance. Ensure service issues are resolved quickly and documented properly. 12. Reporting and Review Prepare and submit daily, weekly, and monthly reports related to revenue, patient count, follow-up count, department performance, staff issues, expenses, license status, pending renewals, vendor issues, pending payments, marketing leads, complaints, and operational gaps. Participate in management review meetings with clear action points. 13. Training and SOP Implementation Ensure staff follow CDFC protocols, SOPs, infection-control standards, documentation process, billing process, patient communication standards, license compliance process, and department workflows. Support training for new and existing staff. Key Performance Indicators The Unit Head / Admin Manager will be evaluated based on:

- Overall branch cleanliness, safety, and operational standards Required Qualification Graduate or Postgraduate in Hospital Administration, Healthcare Management, Business Administration, Nursing Administration, or any relevant discipline. Age Criteria Candidate must be minimum 30 years of age. Experience Minimum 3–7 years of experience in hospital administration, clinic operations, healthcare unit management, front office leadership, branch operations, or healthcare facility management. Experience in specialty hospitals, diabetic care, wound care, surgery centres, pharmacy-based healthcare units, or multi-department clinics will be preferred. Skills Required Strong leadership and team management skills. Good communication in Malayalam and English; Tamil will be an added advantage. Ability to handle patients, attenders, doctors, vendors, government officials, and staff professionally.
