Job Title: Executive Secretary to Managing Director Location: Bhandup, Mumbai, India Department: Executive Office Reporting To: Managing Director Employment Type: Full-time Job Summary: We are seeking a highly efficient, detail-oriented, and discreet Executive Secretary to provide comprehensive administrative and operational support to the Managing Director. The ideal candidate will serve as the right hand to the MD, ensuring smooth execution of business operations, managing communications, and maintaining utmost confidentiality. Key Responsibilities:
- Manage and maintain the Managing Director’s schedule, including meetings, appointments, travel arrangements, and conferences.
- Manage Google Calendar.
- Maintaining records of MDs contacts.
- Managing MDs diary, assessing priority of appointments and reallocation as necessary.
- Managing MDs travel arrangements (including visa, accommodation).
- Act as the point of contact between the MD and internal/external stakeholders.
- Meeting and greeting visitors at all levels of seniority.
- Handle confidential and sensitive information with integrity and discretion.
- Draft and prepare business correspondence, reports, emails, presentations, and meeting agendas.
- Attend meetings with or on behalf of the MD, take minutes, and follow up on assigned action items.
- Coordinate with department heads to ensure timely submission of reports and updates.
- Supervising all Trust incoming/outgoing mail.
- Screen calls, enquiries and requests, and deal with them when appropriate.
- Organize and maintain documents, files, records, and reports as required.
- Assist in research, data analysis, and preparation of business presentations.
- Support the MD in managing personal and professional commitments, as required.
- Handle office tasks such as filing, generating reports and presentations, setting up for meetings, and reordering supplies. Key Skills & Competencies:
- Excellent written and verbal communication skills in English; proficiency in Hindi and Marathi is a plus.
- Strong organizational and time management skills.
- Professional demeanor with the ability to interact confidently with senior executives.
- High level of discretion, integrity, and confidentiality.
- Ability to work independently and handle pressure in a rapid-paced environment.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook). Qualifications & Experience:
- Bachelor’s degree in Business Administration, Management, or related field.
- Minimum 5+ years of experience supporting senior leadership, preferably in a manufacturing, logistics, Transport & Trading or corporate environment.
- Prior experience working as a secretary or executive assistant to a Managing Director or CEO will be preferred.
