Role Overview: We are hiring a Client Onboarding Specialist to own the end-to-end journey of bringing new clients into the firm — from the first enquiry to a seamless handover to the service team. You will be the face of the firm for every new client, ensuring they feel informed, supported, and confident from day one. This is a critical, high-visibility role that sits at the intersection of compliance, client experience, and operations.
Key Responsibilities:
• Be the first point of contact for new clients and own the onboarding journey from initial enquiry through to handover to the service team.
• Confirm the agreed scope of services with the partner and client.
• Ensure fees and direct debits are in place before any work begins.
• Act as the client's main point of contact throughout onboarding — provide a explicit roadmap, respond to queries promptly, and chase outstanding documents respectfully but persistently.
• Run a warm handover to the service team once everything is in place.
• Set clients up accurately in the firm's practice management software and cloud bookkeeping platforms (Xero, QuickBooks, Sage, Free Agent), ensuring data integrity from day one.
• Use Excel confidently to track the onboarding pipeline, reconcile client lists across systems, and produce weekly management reporting.
