Role Overview
The Administrative Assistant will provide comprehensive administrative, drafting, and coordination support to the PMC team. The role requires strong documentation skills, professional communication, and the ability to coordinate with clients, internal teams, developers, and external associates involved in redevelopment projects.
Key Responsibilities
1. Drafting & Documentation
- Draft professional correspondence including letters, emails, notices, meeting minutes, agendas, and reports.
- Assist in preparation and maintenance of legal and redevelopment-related documentation such as agreements, proposals, approvals, and compliance records.
- Maintain systematic records (physical and digital) of all project and office documents.
2. Legal & Paperwork Support
- Coordinate collection, filing, and tracking of legal documents related to redevelopment projects.
- Assist in documentation required for societies, developers, architects, advocates, and statutory authorities.
- Ensure timely submission and retrieval of documents as instructed by senior management.
3. Office Administration & Management
- Handle day-to-day office operations and administrative activities.
- Maintain office files, registers, databases, and correspondence logs.
- Coordinate with vendors, service providers, and support staff as required.
4. Client & Stakeholder Coordination
- Act as a point of contact for client societies, developers, and consultants for routine coordination.
- Manage professional communication with clients through emails, calls, and written correspondence.
- Schedule and organize meetings with clients, societies, developers, and internal teams.
5. Team & Associate Coordination
- Coordinate with internal PMC team members for project-related activities and documentation flow.
- Liaise with external associates such as architects, legal advisors, liaison consultants, and auditors.
- Ensure follow-ups and action tracking on assigned tasks.
6. Meetings & Support Activities
- Organize meetings, prepare agendas, circulate minutes, and track action points.
- Assist in preparing presentations, reports, and evaluation documents for management and clients.
7. Other Office Activities
- Support senior management in administrative and coordination tasks as required.
- Handle miscellaneous office responsibilities related to redevelopment projects and consultancy operations.
Desired Skills & Qualifications
- Graduate in any discipline
- 1–3 years of experience in administration and real estate documentation and paperwork.
- Strong drafting and written communication skills in English & Marathi.
- Proficiency in MS Office (Word, Excel, Power Point, Outlook).
- Valuable organizational, coordination, and follow-up skills.
- Ability to handle multiple tasks and meet deadlines.
- Professional attitude and ability to deal with clients and senior stakeholders.
