Job Summary We are seeking an experienced and highly organized Administration Manager to oversee administrative operations for our engineering and construction business. The role involves managing corporate office administration, project site administration, facility management, vendor coordination, statutory compliance support, transportation, housekeeping, security, and overall operational support functions. The ideal candidate should have robust administrative leadership capabilities, experience in construction or project-based environments, and the ability to manage multi-site administrative operations efficiently. Key Responsibilities Office & Site Administration Manage day-to-day administrative operations at corporate offices and project sites. Ensure smooth functioning of office facilities, utilities, housekeeping, and maintenance activities. Supervise administrative staff, reception, office assistants, and support teams. Coordinate office space management, seating arrangements, and infrastructure setup. Project Site Administration Oversee site administration activities including accommodation, food arrangements, transportation, and workforce facilities. Ensure proper upkeep of labor camps, site offices, and employee welfare facilities. Coordinate mobilization and demobilization support for project teams and workforce. Support project teams with administrative logistics and operational requirements. Vendor & Facility Management Manage contracts and relationships with vendors, service providers, and facility management agencies. Monitor housekeeping, security services, transport vendors, and maintenance contractors. Negotiate vendor agreements and ensure cost-effective service delivery. Track AMC contracts, utility services, and office asset maintenance. Asset & Inventory Management Maintain records of office assets, furniture, equipment, and consumables. Monitor procurement and inventory of office supplies and site materials. Ensure proper asset allocation, tracking, and disposal procedures. Coordinate repair and maintenance activities for office equipment and vehicles. Transportation & Travel Coordination Manage company transportation, vehicle allocation, and driver administration. Coordinate employee travel arrangements, accommodation bookings, and logistics support. Monitor vehicle maintenance schedules, fuel consumption, and transport costs. Security & Safety Coordination Coordinate security operations for office and project locations. Ensure compliance with safety protocols, emergency procedures, and workplace standards. Support implementation of health, safety, and environmental practices at project sites. Compliance & Documentation Maintain administrative records, contracts, licenses, and statutory documents. Support audits and ensure compliance with organizational policies and procedures. Liaise with local authorities, utility providers, and government agencies when required. Budgeting & Cost Control Prepare and manage administration budgets. Monitor administrative expenses and implement cost optimization measures. Generate MIS reports related to administration and facility operations. Required Qualifications Bachelor’s degree in Business Administration, Management, or related field. MBA/PGDM preferred. Additional certifications in facility management or administration are advantageous. Experience 8–15 years of administration experience in engineering, construction, infrastructure, EPC, or real estate industries. Strong experience managing site administration and multi-location operations. Exposure to project-based operational environments preferred.
