CAI Business Units and the Markets We Serve CAI Software is organized into three business units
- Graphic Communications, Process Manufacturing, and Discrete Manufacturing – aligned to the markets we serve. This structure allows our teams to stay close to customer needs while operating with the scale and support of a global software company. This role is part of our Shared Services team which includes the functions that support CAI business units. This model enables deep industry focus at the BU level while benefiting from the scale, expertise, and stability of one unified organization—allowing CAI Software to deliver specialized solutions CAI India CAI India is a strategic investment in the company’s future. Our Bangalore Center of Excellence is a place of ownership, expertise, and accountability. Teams in India work on global products end to end, contribute to key decisions, and influence how CAI evolves as a business. This is not a support-led model, but rather a center designed to lead through knowledge, responsibility, and trust. About the Role The HR Operations is a contributor responsible for designing, implementing, and continuously improving the end-to-end employee onboarding experience. With 5+ years of HR experience, this individual serves as the primary point of contact for new hires and cross-functional stakeholders, ensuring that every new employee integrates seamlessly into the organization from offer acceptance through the first 90 days. This role is instrumental in shaping first impressions, reinforcing organizational culture, and reducing time-to-productivity for new employees across all levels and functions. Key Responsibilities Onboarding Program Management
- Design, own, and continuously enhance the organization's end-to-end onboarding framework, covering pre-boarding, Day 1 orientation, and the 30/60/90-day integration plan
- Develop role-specific onboarding tracks for different departments, functions, and seniority levels in collaboration with business leaders
- Manage onboarding calendars, schedules, and logistics for all recent hires, including remote and hybrid employees
- Partner with IT, Facilities, Payroll, and Benefits teams to ensure all provisioning and administrative tasks are completed prior to the employee start date New Hire Experience & Engagement
- Serve as the primary point of contact for new hires from the moment an offer is accepted, providing a warm and informative pre-boarding experience
- Conduct structured orientation sessions covering company culture, values, policies, benefits enrollment, compliance training, and tools/systems setup
- Facilitate introductions between new hires and key stakeholders, hiring managers, and peer buddies
- Monitor new hire sentiment through regular check-ins, pulse surveys, and feedback mechanisms; take proactive action on concerns Compliance, Documentation & Systems
- Ensure all new hire documentation (offer letters, Pre onboarding documents) is accurately completed and maintained in compliance with local regulations
- Maintain and update the system with new hire data, onboarding task completion.
- Create and manage onboarding checklists, templates, knowledge base articles, and standard operating procedures
- Ensure GDPR / data privacy compliance for all employee records Cross-Functional Collaboration & Stakeholder Management
- Act as a trusted HR partner for hiring managers, providing guidance on onboarding best practices and manager responsibilities during new hire integration
- Partner with Talent Acquisition to ensure a smooth transition from recruiting to onboarding, minimizing any candidate experience gaps
- Liaise with external vendors providing onboarding platforms, background checks Metrics, Reporting & Continuous Improvement
- Track and report key onboarding KPIs including onboarding completion rates
- Analyse onboarding feedback
- Benchmark onboarding practices against industry standards and propose enhancements aligned with business growth Required Qualifications
- Bachelor’s degree
- Minimum 5 years of progressive HR experience, with at least 3 years focused on onboarding, employee experience, or HR operations
- Proficiency with HRIS platforms (Workday, SAP SuccessFactors, BambooHR, UKG) and applicant tracking systems
- Strong knowledge of HR documentation best practices
- Excellent interpersonal, communication, and facilitation skills with the ability to engage audiences at all organizational levels
- Proficiency in Microsoft Office /Excel/ Power point; Preferred Qualifications
- Experience onboarding remote, hybrid, or geographically distributed workforces
- Exposure to change management, organizational development, or employee engagement programs
- Experience with Diversity, Equity & Inclusion initiatives integrated into the onboarding process
- Familiarity with data analytics tools (Power BI, Tableau, or similar) for HR reporting Expected Skills & Competencies
- Strong attention to detail and accuracy.
- Solid understanding of HR policies, processes, and local employment laws.
- Analytical mindset with good Excel and reporting skills.
- Experience managing HR systems and process workflows.
- Excellent communication and stakeholder management skills.
